Credit, Grades, and Examinations

CREDITS, GRADES, AND EXAMINATIONS

Credits (also called semester hours, or units) are granted in recognition of academic work successfully completed in specific subjects. A lecture subject in a semester which meets 3 hours a week for a total of 54 maximum hours is assigned 3 units and normally requires two hours of outside individual study for each hour of lecture. A laboratory subject requires 3 hours of laboratory for every 1-unit credit per semester.

Study Load

Full-time study loads for credit ranges between 18 units to 24 units, depending on the curriculum of the student.
When the student is graduating during the regular semester an overload of six (6) units is allowed in addition to the regular load. However, if the student is graduating during summer term, he/she is allowed to carry an additional 3-unit credit to the regular 9-unit load.

Transfer Credits

Students transferring to the University who desire to have some of their subjects taken from other higher education schools credited towards their program should request in writing to the College Dean.

The College Dean shall assess the subjects and decide on the merits of the request under the following conditions:
1. The subject proposed to be credited has the same number of units and similar course description as the subject equivalent at the University.
2. The contents of the subject are substantially the same (particularly if it is a pre-requisite subject).

Examinations

There are four major examinations being administered by the University, namely: Prelim, Midterm, Semi-final and Final Examinations. Each semester time is divided into four-quarter periods of roughly 4 1/2 weeks each: Preliminary grading period; Mid-term grading period; Semi-final grading period; and the Final grading period. Within each grading period, instructors/professors may give short quizzes anytime to check progress of learning.

Deadline

Students will be assigned numerical grades based on standards/criteria established for each class. The instructor will inform students of these criteria which may include such methods as graded recitation, written reports, participation in class discussion, performance in assigned projects, grades on
short quizzes, practicum, or laboratory field performance, periodic examination grades, and degree of positive attitude displayed by the student in the subject. A grade is exclusively a mark of achievement and performance of a student.

Incomplete Grade (INC)

An Incomplete (INC) grade may be given to a student who is passing in a subject but needs to complete a small but significant requirement in the subject.
An incomplete grade will expire after the six months duration. If the student fails to remove the incomplete grade within six months, he/she may petition for an extension of another six months deadline. Request for Extension form which shall be attached to the Application for Removal of Incomplete grade is
available in the Registrar’s Office.

Removal of Incomplete Grades

In case a student receives an incomplete grade after the semester, the following guidelines are to be strictly observed:
a. For the 1st Semester Incomplete Grades, the deadline for removal is 1st week of May.
b. For 2nd Semester and Summer Incomplete Grades, the deadline for removal is 1st week of October.
c. File your application for Removal Examination at the Registrar’s Office after payment of required fees at the Business Office. The removal exam which is to be prepared by the instructor or professor concerned shall be taken by the student at the Dean’s Office during the appointed time. The instructor or the professor concerned will be the one responsible for the correction of the exams and is also responsible in giving the final grade. The completion form is to be approved by the Dean before it will be submitted by the instructor/professor concerned to the Registrar’s Office.
d. Effective School Year 2015-2016, a student who incurs an incomplete grade should be excluded from the Dean’s List. In the event that the student completes his/her grade, the grade to be given shall not exceed
the ceiling grade of 80%.
e. Students with multiple incomplete grades are not allowed to enroll until all the incomplete subjects have been completed.
f. In case of the unavailability of the teacher (on leave or resigned), the Dean has the authority to assign another teacher who is currently teaching the subject to administer the completion and/or other requirements needed by the concerned student.
g. A student shall not be declared graduating until all incomplete grades are complied with.
i. If the student does not work for the removal of ‘INC.” within the appropriate period, the incomplete grade will automatically be converted to an “F” or “failed” in the permanent record of the student.

Retention Policies

1. Every bonafide student of the University has the right to continue one’s studies until he finishes the level of instruction he has started.
2. The enjoyment of the right of retention is subject to the following exceptions:
2.1Violation of school rules and regulations related to student conduct, and
2.2 Incurring of academic deficiencies.
